A global insurance firm chose to streamline certain business processes some time ago by utilizing an imaging system to scan policy documents. The system links to the firm's core business system, which contains a powerful workflow engine. The workflow process enables the automated routing of documents based on the properties associated with each document. This has been a successful implementation and has saved the organization both time and money, and has allowed them to be more responsive to clients.
However, the imaging system had been built several years ago on older technology and had become outdated. The firm was no longer able to update the code, and their dependency on the imaging software was keeping them from upgrading to current versions of Microsoft and Adobe products.
The insurance firm viewed this as an opportunity to redefine the requirements for the imaging system so that they could choose the best solution to support their future plans and business goals.
Solution:
Oakwood provided Business Analysis services to work with the various groups within the insurance firm, determining requirements for a new system that would work in conjunction with the core business system. Oakwood analyzed the business processes surrounding the documents - claims, underwriting documents, legal documents, financial information, and administrative communications, and performed a current state/future state/gap analysis in order to determine requirements for a new Enterprise Document Management System (EDMS).

The software selection process will be shortened because of the level of detail available.
